This form helps us gather the information needed to schedule and conduct your inspection efficiently and fairly, in accordance with TTMAC standards. TTMAC INSPECTION PROCESS AND CLIENT ACKNOWLEDGEMENT FORM

(Mandatory companion to the Inspection Request Form)

1. INSPECTION OVERVIEW

TTMAC inspections provide an independent and unbiased review of a hard surface installation to determine whether the work has been completed in accordance with TTMAC guidelines and accepted industry standards. The inspector will not provide on-site opinions or conclusions; all findings are documented in the written report.

All communication regarding inspections must be conducted through the TTMAC office. Inspectors and report writers are not to be contacted directly.

The inspection must be conducted without interference or discussion during the visit. The inspector may end the inspection if they are prevented from performing their duties. A new request and full payment would then be required to reschedule.

2. SITE ACCESS AND DESTRUCTIVE TESTING

The inspection is conducted as a non-intrusive assessment. TTMAC inspectors do not perform or arrange any form of destructive testing such as material removal, core sampling, or subfloor exposure.

If such testing is required to properly evaluate the installation, it is the responsibility of the inspection requestor to arrange and pay for qualified tradespeople or service providers to carry out this work, at the inspector’s direction or as otherwise coordinated through the TTMAC office.

All areas identified for inspection must be accessible and safe for entry.

3. COMMITTEE REVIEW AND REPORT PROCESS

All inspection findings are reviewed by the TTMAC Inspection Committee, which includes experienced and respected professionals from across Canada. In the event of differing opinions among reviewers, conclusions are determined by committee consensus to ensure impartiality and consistency.

Inspectors and report writers are independent industry members who receive a nominal fee for their work. Committee members volunteer their expertise to support the association and the integrity of the process.

4. TIMELINE AND COMMUNICATION

The typical timeframe from inspection to report completion is approximately four (4) weeks following the site visit. Complex cases may take longer if additional research or committee review is required.

If the committee requests additional information from the inspection requestor, it must be provided within fifteen (15) calendar days. Failure to do so may result in the inspection being terminated without a report or refund of fees paid. The report timeline begins only once all required information has been received.

5. THIRD-PARTY TESTING (IF APPLICABLE)

In some cases, one or more parties involved in the inspection may choose to obtain independent laboratory testing to supplement or clarify findings. When submitted to TTMAC, such results may be included as an addendum or auxiliary report to the official inspection report, providing additional context or verification.

The Tile Council of North America (TCNA) is the only third-party testing facility recognized by TTMAC for inclusion as an official addendum. Any testing must be initiated, paid for, and coordinated by the involved party or parties.

Such addendums will not alter or replace the original inspection findings and must be initiated within ninety (45) days of the report’s issuance unless otherwise approved by the TTMAC office. The inclusion of third-party testing results is subject to review for relevance and verification prior to being referenced in the report.

6. REPORT DISTRIBUTION AND CONFLICT OF INTEREST

Inspection reports are normally issued only to the requesting party. However, if multiple parties involved in the inspection are current TTMAC members, and withholding the report could create or appear to create a conflict of interest, TTMAC may, at its discretion, provide copies of the final inspection report and any related addendums to those parties upon written request, with the knowledge of the original requesting party.

In all other cases, inspection results remain confidential and will not be shared with any third party without written consent from the requesting party.

7. LEGAL USE OF REPORTS

Inspection reports are prepared for the requesting party and are intended for informational purposes. Because they represent the professional opinions of independent experts, they may not be used in legal proceedings without prior written approval from the TTMAC office.

8. CANCELLATION, RESCHEDULING, AND LIABILITY

Cancellations or rescheduling must be made at least forty-eight (48) hours in advance of the scheduled inspection. Requests made with less notice may be subject to additional fees.

TTMAC, its representatives, inspectors, and committee members accept no liability for damages, losses, or expenses arising from the inspection or its findings beyond the scope of the inspection report.

9. DIGITAL AGREEMENT (FOR ONLINE SUBMISSIONS)

If this form is submitted electronically, the requestor’s name and date entered below will serve as their legal acknowledgment of this document and all associated conditions.
